Standard Terms and Conditions

We conduct our business in an open, honest and ethical way, and have written these standard terms to be fair to our customers, suppliers and staff.

Our quotes are valid for 14 days and are based on the scope listed in the proposal. Before we start your production, we will review the scope with you to ensure your requirements are covered. If the scope of work is more or less than what was originally quoted on, we will discuss this with you prior to agreeing on an updated budget.

If the production is to be billed on a time and materials basis, we will invoice all work at our standard hourly rates after we gain your written approval of the rates.


If the scope is varied or extended, we will either provide a revised quote, or invoice the additional work at our standard hourly rates after we confirm these rates and gain your written approval. We won’t carry out any additional work without gaining your written approval. Our projects include 2 rounds of edit revision. If further edits are required after the second round, our standard hourly rate applies. Please note that project scope changes are at the discretion of Sydney Video Producer and our acceptance or denial of such will be based on our availability and ability to deliver.


50% of the total project cost is payable upfront, before any work can be commenced. The final 50% (plus any extra expenses you have approved) will be invoiced prior to the project being completed and is payable prior to master delivery. You agree not to use the production until full payment is received. Please discuss these payment terms with your accounts department prior to signing this proposal to ensure there are no delays on delivery.


If we have completed the majority of your production (for example, all of the shooting and the majority of post production) then you agree not to unreasonably delay your review/ approval of the edit. If your review/ approval is delayed by more than two weeks beyond the first draft delivery, then you agree to accept and pay the final project invoice within 7 days. We agree to schedule any additional editing (within the project scope) as quickly as our schedule allows when you are ready to proceed with the final edit. A project re-instatement fee equal to 10% of the total budget is payable for projects delayed for more than 1 month.


If you need to cancel your project, we will deduct reasonable expenses from your deposit to cover the costs in both time and materials incurred, and then refund the balance or hold it as credit for your next production. Please note that the first 50% of the full project budget is non-refundable. We will provide an itemised list of the costs we deduct from your deposit. If the costs we have incurred exceed the deposit you have paid, you agree to pay the extra costs once we have provided an itemised invoice.

In some circumstances Sydney Video Producer may request the cancellation of a project. This could be for a number of reasons including (but not limited to) creative differences or communication breakdowns. In this event, we will invoice you for work completed and refund any remaining amounts. An itemised list will be provided with this invoice or refund.


After your project has been delivered we’ll back it up on to a hard drive, to be stored in our office. We don’t guarantee the ongoing viability or safety of any projects due to the nature of hard drives and take no responsibility for footage once the master files have been delivered. Should you wish to make changes or re-visit a project, a fee of $350 per project is charged to bring it back into our server. Should you require us to re-send you any master files a $50 fee per file will be charged for us to access these and send to you. If you would like to purchase your raw files to store or use these can be purchased for 20% of the project fee, with a minimum fee of $1,000.


Studio and location shoots can be delayed by providing a minimum of 48 hours notice. If you provide less than 48 hours notice, you agree to pay a cancellation fee equal to 50% of the shoot costs. If you provide less than 24 hours notice, you agree to pay 100% of the shoot cost.


We retain copyright ownership of all materials produced until the final invoice has been paid. By accepting these terms, you agree not to display, broadcast, distribute or use the production in any way until the final invoice has been paid in full, unless you have received written agreement from Sydney Video Producer. You will own the copyright on all content including master videos, voiceovers and scripts after you have paid the final invoice. Raw footage is not part of the deliverables but can be purchased separately. For sensitive projects (those containing footage of minors etc, you are welcome to request deletion of the footage from our servers). IP developed during all projects remains the property of Sydney Video Producer.

We have the right to re-use technical components we develop during the project and we don’t release our project files, unless it has been agreed in writing as part of the project scope.

We respect your privacy

Sydney Video Producer respects your right to privacy and is committed to safeguarding the privacy of our customers and website visitors. We adhere to the Australian Privacy Principles contained in the Privacy Act 1988 (Cth). This policy sets out how we collect and treat your personal information.

“Personal information” is information we hold which is identifiable as being about you.

Collection of personal information

Sydney Video Producer will, from time to time, receive and store personal information you enter onto our website, provided to us directly or given to us in other forms.

You may provide basic information such as your name, phone number, address and email address to enable us to send information, provide updates and process your product or service order. We may collect additional information at other times, including but not limited to, when you provide feedback, when you provide information about your personal or business affairs, change your content or email preference, respond to surveys and/or promotions, provide financial or credit card information, or communicate with our customer support.

Additionally, we may also collect any other information you provide while interacting with us.

How we collect your personal information

Sydney Video Producer collects personal information from you in a variety of ways, including when you interact with us electronically or in person, when you access our website and when we provide our services to you. We may receive personal information from third parties. If we do, we will protect it as set out in this privacy policy.

Sydney Video Producer may use personal information collected from you to provide you with information, updates and our services. We may also make you aware of new and additional products, services and opportunities available to you. We may use your personal information to improve our products and services and better understand your needs.

Sydney Video Producer may contact you by a variety of measures including, but not limited to telephone, email, sms or mail.

Disclosure of your personal information

We may disclose your personal information to any of our employees, officers, insurers, professional advisors, agents, suppliers or subcontractors insofar as reasonably necessary for the purposes set out in this Policy. Personal information is only supplied to a third party when it is required for the delivery of our services.

We may from time to time need to disclose personal information to comply with a legal requirement, such as a law, regulation, court order, subpoena, warrant, in the course of a legal proceeding or in response to a law enforcement agency request.

We may also use your personal information to protect the copyright, trademarks, legal rights, property or safety of Sydney Video Producer,, its customers or third parties.

Information that we collect may from time to time be stored, processed in or transferred between parties located in countries outside of Australia.

If there is a change of control in our business or a sale or transfer of business assets, we reserve the right to transfer to the extent permissible at law our user databases, together with any personal information and non-personal information contained in those databases. This information may be disclosed to a potential purchaser under an agreement to maintain confidentiality. We would seek to only disclose information in good faith and where required by any of the above circumstances.

By providing us with personal information, you consent to the terms of this Privacy Policy and the types of disclosure covered by this Policy. Where we disclose your personal information to third parties, we will request that the third party follow this Policy regarding handling your personal information.

Security of your personal information

Sydney Video Producer is committed to ensuring that the information you provide to us is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure information and protect it from misuse, interference, loss and unauthorised access, modification and disclosure.

The transmission and exchange of information is carried out at your own risk. We cannot guarantee the security of any information that you transmit to us, or receive from us. Although we take measures to safeguard against unauthorised disclosures of information, we cannot assure you that personal information that we collect will not be disclosed in a manner that is inconsistent with this Privacy Policy.

Access to your personal information

You may request details of personal information that we hold about you in accordance with the provisions of the Privacy Act 1988 (Cth). A small administrative fee may be payable for the provision of information. If you would like a copy of the information, which we hold about you or believe that any information we hold on you is inaccurate, out of date, incomplete, irrelevant or misleading, please email us.

We reserve the right to refuse to provide you with information that we hold about you, in certain circumstances set out in the Privacy Policy.

Complaints about privacy

We may modify this Policy at any time, in our sole discretion and all modifications will be effective immediately upon our posting of the modifications on our website or notice board.
